Telegram File Library Bot: Share Files With Your Members
A file library bot keeps your files in one place in Telegram, so members can browse, search and download them whenever they need them, instead of scrolling back through a channel. On TeleCrow this is the File Download bot: you upload files in the dashboard (any file type, up to 50 MB each), and members tap Browse Files or Search in the bot. You can also ask people to join your channel before the files unlock. It works on every plan, including Free, and members download for free.
What a file library bot does
It is a self-service shelf for the files your community keeps asking for: worksheets, checklists, templates, presets, slide decks, past newsletters as PDFs, or a starter pack for new members. Instead of reposting the same file or answering "where is the PDF?", you send people one link to the bot.
- Members see every file in one list, 8 per page, and can search by name.
- Tapping a file sends it to them in the chat, with its name as the caption.
- You add, rename, replace and remove files from the dashboard; members always see the current version.
- Optionally, the bot checks that a person has joined your channel before showing the files.
When to use it (and when a shop bot is better)
| File library bot | Pinned posts in a channel | Shop bot (digital products) | |
|---|---|---|---|
| Price | Free for members | Free for members | Paid, delivered after payment |
| Finding a file | Browse a list or search by name | Scroll or use channel search | Browse a catalog by category |
| Updating a file | Replace it once; everyone gets the new one | Post it again | Replace it in the product |
| Ask people to join your channel first | Yes, optional | Only if the channel itself is private | No |
| File types | Any type, up to 50 MB each | Up to 2 GB per file (4 GB with Premium) | PDF, JPEG, PNG, GIF, TXT and ZIP, up to 50 MB each |
If you want to charge for the files, use a digital product shop bot instead: it delivers after payment, and buyers can download again from their order history. Our guide on delivering files automatically after payment covers that setup.
Set it up step by step
- Create the bot in Telegram. Open @BotFather, send
/newbot, choose a name and a username, and copy the token. - Create it in TeleCrow. In the dashboard, create a bot, choose File Download Bot ("Members join your channel, then download your files") and paste the token.
- Make a folder. Open the Files tab. Create a folder, then add your files to it.
- Add your files. Press Add file, drop your files in (or click to choose), then press the Add button. Each file appears under its own name.
- Optional on Pro and Ultra: write your own greeting. The message members see on
/startis set in Configuration › Greeting Message. The Configuration tab is locked on Free and Basic. - Optional: ask people to join your channel. Open the Access & Gate tab (explained below).
- Test it. Start the bot, open it in Telegram from a second account, press
/start, and download a file.
Add, rename and organise files
The Add files window accepts any file type, up to 50 MB per file, and says so at the bottom: "members download them for free". You can drop several files at once; each becomes its own entry.
- Rename a file to change the name members see in the list and in the caption of the file they receive.
- Replace a file with a new version. The new file is uploaded first and the old one is removed after, so members never hit an empty entry.
- Organise files in folders and subfolders. Folders are for you: members see one combined list, sorted by name, and use search to narrow it down. So give files clear names, such as "Budget template 2026.xlsx" rather than "final_v3.xlsx".
What your members see
When someone opens your bot and presses Start, they get your greeting and three buttons by default: 📂 Browse Files, 🔍 Search and 👤 Profile. On Pro and Ultra you can change the buttons in the Button Layout tab.
- Browse Files shows "📂 All files", with the number of files available, 8 per page, and arrows to move between pages. Tapping a file sends it.
- Search asks them to "Send me part of the file name you are looking for" and shows the matching files.
- If nothing matches, the bot says so and points them back to Browse Files.
Ask people to join your channel first
In the Access & Gate tab, enter the channel people must join: its @username, a t.me link, or the numeric -100… ID for a private channel. Leave it empty to let anyone download without joining. Your bot must be an admin of that channel, otherwise it cannot check who has joined.
When the gate is on, a person who hasn't joined sees "🔒 Almost there! Join our channel to unlock the files" with a button to join and a ✅ I joined — Continue button. The bot asks Telegram whether they are a member, and only then shows the files.
Two honest limits. First, a successful check is remembered for 5 minutes, so someone who leaves your channel keeps access for up to 5 minutes. Second, files they already downloaded stay on their phone. The gate is a good way to grow a channel, not copy protection.
Use a free library to grow your channel
A useful free file is one of the most honest reasons to join a channel. To make it work:
- Offer something people actually want, such as a template that saves an hour, not a teaser.
- Share the bot link where your audience already is: your other social profiles, your website, a blog post, or a partner's channel.
- Keep the library alive. Add a file every week or two and announce it in the channel. People who joined for one file stay for the next.
- Don't buy members. Bought accounts never download anything and make your numbers useless. See how to spot bought members and how to grow a channel without buying followers.
Share only files you have the right to share. A file library is for your own material, or material whose licence allows sharing.
Limits to know
- 50 MB per file for uploads from the dashboard. This matches the 50 MB limit Telegram sets for files sent by bots (Telegram bot FAQ).
- Files over 20 MB are stored by TeleCrow and count toward a 10 GB allowance per account.
- Daily new users: your plan's limit applies to this bot like any other: 50 new users a day on Free, 100 on Basic, unlimited on Pro and Ultra. Existing members are never affected. See pricing.
- Bots per plan: 1 on Free and Basic, 2 on Pro, 4 on Ultra. A file library uses one of them.
